Ontario Grow Media operates GrowInvoice AI. This policy explains what information the service handles and how it is used. This page is general information, not legal advice.

Information we handle

Account details include your name, email, phone, business name, address, CRA/GST registration number, account type, and authentication data. When you use invoice features, the service processes uploaded receipts and invoices, extracted supplier, tax, date, and amount details, and your related account activity. Do not upload information you are not authorized to provide.

Payment card details are handled by Stripe for checkout and subscription management; GrowInvoice AI does not intend to store full payment card numbers. Service diagnostics and provider logs may also be generated.

Use and service providers

Information is used to operate accounts, extract and display invoice data, provide exports, administer subscriptions, protect the service, and respond to support requests. Support inquiries submitted in the app are emailed to Ontario Grow Media using the configured SMTP delivery provider. The service uses Render and PostgreSQL for backend hosting and data, Cloudflare Pages and R2 for frontend and document delivery/storage, Stripe for payments, and Google Gemini for AI-assisted extraction.

These providers may process information in Canada or other countries, where it may be subject to local laws. Provider regions and transfers should be confirmed against their current service settings and terms. Uploaded documents may be sent to the AI extraction provider to perform the feature you requested.

Safeguards, access, and retention

We use access controls and service-provider safeguards intended to protect information. No internet service can guarantee absolute security. Access to authenticated account and administration functions is controlled by account credentials and authorization checks.

We do not currently publish a fixed account-data deletion schedule in this policy. Before using the service as the sole archive for financial records, retain your own source documents and exported copies. To ask about access, correction, or deletion of account information, contact Ontario Grow Media through OntGmedia.com.

Canadian tax recordkeeping rules generally require businesses to keep relevant books and records for six years from the end of the last tax year to which they relate, subject to exceptions and CRA directions. That obligation is yours; it does not mean GrowInvoice AI stores records for six years or replaces your own retention process.

Privacy rights and changes

Ontario Grow Media aims to handle personal information in accordance with applicable Canadian privacy requirements, including PIPEDA where it applies. Depending on the circumstances, you may request access to or correction of personal information, or raise a privacy concern through OntGmedia.com.

We may update this notice as the service changes. The date above indicates the latest revision.
